All info on projects, tasks, activities
- The All Projects view displays all projects that are
currently in development for your production team. Each project is
represented by a folder with the name of the project listed. When you
click on one of the project folders, you will then be taken to the view
for that specific project. Notice
the top navigation bar allows you to access All Projects, Global Calendar,
Search and User information at any time.
History of tasks and events
- The Project View allows you to see the individual Tasks for
a Project in their varying states of readiness. The name of the Project you are viewing will appear at the
top left of the screen.
- All Tasks show all tasks for that project. The Calendar
tab will link you to a calendar for that specific project.
- Depending on the access level of the team member,
they may also see additional tabs.
- Setup will lead you to the administration section for that
specific project. And the Summary tab will allow you to
generate reports that are specific only to that particular project. OmniTracker is setup to allow you to look at and manage information
for all projects or for individual projects, depending on what makes sense
for you and your organization.
- When looking at a task, you will see the name of the project
in the upper left-hand corner. There is information about the task in the
top section of the task such as Page/Subject, which is the header for the
task, the task ID number which is automatically generated by OmniTracker,
Time to Date which lists the amount of billable time that has been spent
on the task in total, and then the last person that submitted any activity
on the task.The Assign Users section
allows you to assign tasks in two different ways. When you click on the Manually button, another browser is opened.It displays two columns of users. They are the same but provide
different functionality. The first column, Assigned To, specifies
individuals that are responsible for the particular task. The second
column, Send Update To, sends an email to all team members who are checked
when Save Changes is submitted.
- Status can be set to any name by the administrator of the
project. Time Spent is the amount of time spent by the person actually
performing the work and is in hours and minutes. Time spent may be
different than Time to Date because typically client billing is based on
15 minute increments. OmniTracker automatically rounds up the Time Spent
to the next 15 minute increment.
- Work Type can also be specified by the project
administrator. Allow the Client to See this Message allows you to send the
last message to a client for their viewing. This is nice if you have
clients that need to review work from time to time, but don’t want them
to view all the postings that may be for internal use only. If you select
Allow the Client to see this Message, when a client logs into the system
and they look at the task in question, they will only see those postings
that you have selected for them to see, and nothing else.
- The Task/Message area is for your comments, information,
directions or what ever you want to be incorporated into the project.
This box supports html and graphics which will appear in the
history as saved.
- Attachments can be added easily. There is no limit to the
number of attachments that can be made to any task.
- All postings are available for the task in the History
section and indicate the date they were posted, the user that posted them,
the amount of billable time associated with that posting and the work
type.
- Attached Documents is the repository of all documents
associated with that particular task.
- Advanced Settings has the following features:
- Archive this Task moves the task into a different view
called archive. This allows you to remove the task from the active view,
without losing the history.
- Task Priority, there are three options, High, Normal and
Low. High and Low will be displayed with a graphical icon to the left of
the task to make it easy for them to be recognized.
- Task Start Date allows you to assign a date that the task
needs to be started by.
- Task Due Date is the due date you wish to assign to the
task.
- Task Completion Date is the date that you need it to be
completed or it can be the date that the person working on it completed
it.

- Delete this Task will completely remove the task and all
attachments associated with it.
- Easy to get up to speed with new project. New people
can view project history and start work immediately.
